Careers Privacy Policy
This Careers Privacy Notice (“Notice”) applies to the Personal Information of employees, interns, contractors, volunteers and applicants for those roles collected by Mygrant Glass Company, Inc. (“Mygrant”, “we” or “us”).
Please read this Notice to learn how we collect and process your Personal Information when you are employed by Mygrant, engaged to provide services to Mygrant or apply for a job with Mygrant.
Categories of Personal Information We Collect
As permitted by law, Mygrant collects the following categories of Personal Information for the purposes described below:
- Personal identifiers, such as your name, preferred name, postal address, unique personal identifiers (such as device identifiers, cookies, beacons, pixel tags, mobile ad identifiers and similar technology), telephone number, online identifier, Internet Protocol address, email address, Social Security number, driver’s license number, passport number, date of birth, signature, physical characteristics or description, state identification card number, insurance policy number, education, bank account number, credit card number, debit card number, other financial information, medical information and health insurance information.
- Characteristics of protected classifications, such as race, color, national origin, religion, age, sex, gender, gender identity, gender expression, sexual orientation, marital status, medical condition, ancestry, genetic information, disability, citizenship status and military or veteran status. We only collect this information if you voluntarily disclose it and as permitted by applicable law, and we will not use this information to make hiring decisions.
- Sensitive personal information, which may include health related information for job related injuries and workers compensation claims, accommodations, retirement plans, and accident, disability or death, and health related information of an employee’s family member(s) as may be necessary to process certain employee requests such as a leave of absence, and information about employees’ relatives or others that is used for emergency contact or benefits administration purposes.
- Online activity, such as your browsing history, search history and information regarding your interaction with a website, application or advertisement.
- Mobile device security information, such as data identifying employee devices accessing Mygrant networks and systems, including cell phone make, model, and serial number, cell phone number, and cell phone provider.
- Facility Access Records and location information, such as information identifying which employees accessed Mygrant facilities at what times using their keys, badges, fobs, or other security access methods, where you are physically located when you use your work device, the location of your workspace, and where you stay when you travel for Mygrant.
- Sensory data, such as audio and visual information that we may obtain if you use video interviewing as part of the application process. If you visit, work, or perform services in our facilities or facilities in which we operate, your entry, exit and actions in or around those facilities may be monitored by CCTV.
- Professional or employment-related information, such as your employment history, job application or resume, employment contract, wages, absence records, hours worked, paid time off records, references, information about skills and abilities, accomplishments and awards, training and development information, performance evaluation information and employment termination information.
- Non-public education information, such as your education history, education records (such as grades, transcripts and class lists) and other information included in your resume or cover letter.
- Inferences drawn from other Personal Information, including any information referenced above to create a profile about you reflecting your preferences, characteristics, psychological trends, predispositions, behavior, attitudes, intelligence, abilities and aptitudes.
- Other personal information we may request from you or that you choose to provide to us from time to time.
We also may collect Personal Information included in job interview notes, responses to screening questions, assessment results and any other information you provide in connection with the recruitment process.
Sources of Personal Information
We collect Personal Information you voluntarily provide to us during the application process, during employment, or when you otherwise contact us. We may also automatically collect certain information, such as IP addresses and device identifiers.
We may combine Personal Information you voluntarily provide to Mygrant with information we collect from other sources, including, for example:
- Recruiters;
- Prior employers and professional references;
- Pre-employment screening, background check services and drug screening services;
- Credentialing and licensing organizations;
- Information obtained indirectly from you;
- Publicly available sources, such as public social media profiles on LinkedIn, Twitter or Facebook; and
- Other sources as directed by you.
Business Purposes for Collecting Personal Information
We use the categories of Personal Information above for the following business purposes:
- Recruitment: We may use your Personal Information to process your job application, create an applicant profile, evaluate your qualifications, schedule, and conduct interviews and communicate with you.
- Pre-Employment Screening and Background Checks: In accordance with applicable law, we may use your Personal Information to conduct employment screening and background checks.
- Compensation and Expense Management: We may use your Personal Information to conduct payroll processing, salary administration, expense reimbursement, manage Mygrant’s corporate credit cards, vehicle leases, and other compensation purposes such as determining bonuses and other forms of employee compensation.
- Payroll and Expense Management: We may use your Personal Information to salary administration, payroll management, payment of expenses, to administer other compensation-related payments.
- Benefits Administration: We may use your Personal Information we collect to administer benefits we provide, such as medical, dental, vision, disability insurance, retirement benefits, and other employee benefit programs, including recording and processing eligibility of dependents, absence and leave monitoring, insurance and accident management and provision of online total reward information and statements.
- Human Resources Management: We may use your Personal Information to provide HR management services, including managing employee hiring, termination, and separation, travel administration, doctor’s notes for absences or work restrictions, medical leave of absence records, requests for accommodation, post-hire drug test results, and return-to-work screening any medical screening as required or permitted by applicable law.
- Emergency Management: We may use your Personal Information to assist you in the case of emergency, including maintenance of contact details for you, and your dependents in case of personal or business emergency.
- Training and Professional Development: We may use your Personal Information to provide employment-related training, licensing, and development.
- Work-Related Licensing: We may use your Personal Information to manage software licenses for use in the course of an employee’s work related responsibilities, ensuring compliance, training, examination and other requirements are met with applicable regulatory bodies.
- Safety: We may use your Personal Information to ensure a safe and efficient working environment, which includes Mygrant actions relating to disciplinary actions, and code of conduct processes and investigations.
- Website and Internet Management: We may use your Personal Information to maintain security on Mygrant websites and internet connected assets, which includes hosting and maintenance of computer systems and infrastructure; management of Mygrant’s software and hardware computer assets; systems testing, such as development of new systems and end-user testing of computer systems; training; and monitoring email and Internet access
- Internal Purposes: We may use your Personal Information to conduct internal investigations, conduct surveys, resolve disputes, prevent or detect fraud or security incidents, conduct employee performance reviews, enforce Mygrant’s policies, protect the rights and safety of employees or others, and manage whistleblower programs.
- Legal Compliance: We may use your Personal Information to comply with applicable laws, regulations, and legal processes (such as responding to subpoenas or court orders), to respond to requests by law and governmental agencies, to seek legal advice, in connection with any business transaction of the company, such as a sale, purchase or merger, and to respond to legal claims, resolve disputes, enforce Mygrant’s legal rights contained in employment or other contracts, comply with legal or regulatory recordkeeping requirements, such as legal (state and federal) and internal company reporting obligations, including headcount, management information, demographic and health, safety, security and environmental reporting.
Categories of Third Parties with Whom We Share Information
We never sell the Personal Information of our employees, interns, contractors, volunteers and applicants. We may, at times, disclose personal information we collect to the following categories of third parties for the purposes identified above:
- Our group of companies, affiliates, and related companies in accordance with this Privacy Policy;
- With third parties to manage aspects of your relationship with Mygrant and aspects of our business, and to implement the uses listed above in the Business Purposes for Collecting Personal Information section, including third party service providers who access information about you to perform services on our behalf, including for financial or security reasons;
- Third parties who may provide Mygrant with professional advice, such as lawyers, bankers or accountants;
- In connection with any merger, sale of stock or assets, financing, acquisition, divestiture, or dissolution of all or a portion of our business.
When sharing information with third parties, we generally require and expect that they only use or disclose your personal information as necessary to effectuate the purpose and uses described.
Record Accuracy
You are responsible for providing us with any changes in your Personal Information so that we can make updates and maintain accurate records. We provide applicants and workers the right to request that we update your Personal Information.
Record Retention
In accordance with applicable laws, Mygrant retains the Personal Information of applicants and employees for a minimum of four years from the date the records were created or received, or the date the employment action was taken. Mygrant retains employee personnel records for at least four years after termination of employment. In all cases, Mygrant retains the Personal Information in compliance with applicable law.
Security
We take reasonable precautions, including physical, electronic, and procedural safeguards, to protect your information. We make reasonable efforts to maintain security on our systems. Despite our efforts, we cannot guarantee that personal information may not be accessed, disclosed, or altered by breach of our safeguards. We urge you to take adequate precautions to protect your personal information.
